   A filing tool for Word® documents

 

   ManaBook gives Word the power to save several documents in a single file (Book) for easier management and more logical filing and archiving.

 

   Windows® makes logical filing virtually impossible

 

   Despite the extraordinary development of Word and Windows, users still face a dilemma when it comes to naming and filing new documents.  A name should only be used to describe the document.  The problem is, it ends up serving as a filing tool as well.

 

   For example, to ensure that all letters sent to a client are grouped together into the client folder, separate from the other documents, all the user can do is activate the alphabetical sorting feature and assign names to the letters that will sort them in the desired order.

 

   Users cannot organize documents in any way they like because the operating system only allows files to be sorted in predetermined patterns: alphabetically, by date modified, etc.  Users generally prefer to use names for descriptive purposes rather than for filing purposes.  Documents end up scattered throughout the folder.

 

   Several documents in one single Word® file

 

   ManaBook turns a Word file into a “Book” which may contain several documents.

 

   You open a Book as if it were an ordinary Word document.  In doing so, you access all the documents it contains without cluttering your screen with windows or your taskbar with buttons.

 

   ManaBook Book also simplifies your folder because the name of the Book replaces those of all the documents it contains.

 

   Handling made easier

 

   Once organized in a single Book, the documents can be handled more easily since they are all displayed within the same window, as is the Table of Contents.  You don’t have to constantly switch from a Word window to a Windows Explorer window, then back to another Word window, etc.  You handle documents, not windows.

 

   Different buttons let you view documents in turn, in the order in which they are filed, or toggle between the last two displayed.

 

   The Book, and therefore all the documents it contains, can be easily copied onto a diskette or emailed as a single document.

 

   Naming made easier

 

   ManaBook gives you greater flexibility in naming your documents.  You reference them by a brief description that allows you to locate and select the ones you want later.  Custom buttons can help you build and standardize your descriptions.

 

   Filing that lets you be the boss

 

   ManaBook gives you the freedom to file your documents the way you like.  You can structure your filing system with as many directories as you want.  You can change the names of documents and directories more easily than with Windows tools.

 

   One click lets you instantly view the Table of Contents, which lists the names of all documents and directories, with the date, time and author of the last changes.  You can move documents and directories within the Table of Contents by simply sliding them around.

 

   The Book within your global filing system

 

   The Book becomes a filing tool added to the folders you already use.  Your folders could contain documents as well as Books, which in turn contain other documents.  How you use the Books within your overall filing system is up to you.  You will eventually want to store all the documents pertaining to a particular client or project in a single Book.

 

   As opposed to the operating system which does not allow you to rename or move open documents without creating a whole new one, ManaBook allows you to rename or move any document of an open Book, even the one that is displayed.  Since it is considerably easier to manage documents in an open Book than when they are saved in a folder, you will probably want to store all your Word documents in Books.

 

   Importing and exporting documents

 

   Not only can you import regular Word documents into a Book, but you can also import page setups and styles.  You can also export documents, that is, create a stand-alone Word document from a Book document.

 

   ManaBook Kits

 

   The Auto Text entries are a very powerful Word tool that too few users take advantage of.  This may be because they are filed according to the style of the paragraph from which they are created.  Users cannot customize the way they are stored and it is difficult to retrieve them.  Word template files also tend to be seldom used.

 

   Kits are invisible Books in which you can store text and document templates.  You are in complete control of the way the Kit is organized.  Kits are always available, even when you are working on a regular Word document.  You can therefore easily create new documents based on these templates and use the Auto Text entries that you have saved.

 

   An Add-Inn to Word®

 

   ManaBook is an Add-In to Word.  It simply adds the Book processing tools and integrates them into Word.  Your other Word tools remain unchanged.

 

   The idea behind ManaBook

 

   ManaBook is the first of a two-step process originally aimed at creating a Minute Book management tool for law firms.  The resulting tool proved so useful that we have decided to market it as an independent product for the general public.

 

   The second step will be to market another tool called “MinuBook” that will integrate a database and specialized corporate records book management tools into the ManaBook utility.
